When can I contact the student administration of my faculty?

The student administration of your faculty is the student administration on the campus where you study. You can contact us regarding:

Change of contract

Regular international students: please contact the student administration of your faculty.

Certificates

Enrolment certificates (current or previous academic years), study certificate, curriculum, NMBS attestation, …

Your student file

In your KU Loket you can consult your personal data. You can:

  • consult your personal data
  • change your address (only your residence address, work address)
  • indicate where you want to receive your correspondence
  • change your privacy settings

In order to change your home address you have to contact the student administration.

Student card

Did you lose your student card? You can request a new card, the new card will cost €4.

Has your wallet/student card been stolen? Come to the student administration with a certificate of loss you received at the police station. You can get a new student card for free at the student administration.

Cessation of studies

You have to go to the International Admissions and Mobility Unit first, for more information concerning ceasing your studies and the social consequences of doing so.

After consent from the International Admissions and Mobility Unit you have to contact the student administration of your faculty for your withdrawal . Withdrawal only occurs via a student’s written request or a tender in person, and is subject to the handing-over of your student card. You will then receive proof of withdrawal, which you can use to arrange your affairs as necessary.

Transcript of records and credit certificates

You can request a transcript of records at the student administration.

For credit certificates you obtained until the academic year 2012-2013 you can also contact the student administration.

For credit certificates obtained as of the academic year 2013-2014 you will have to contact the central student administration.


Diploma’s and duplicates

  • Diploma’s obtained before June 2014

You can pick up your diploma at the student administration of your campus during the opening hours. You can give a signed proxy to somebody else to pick up your diploma should you not be able to pick it up yourself. Without a proxy no diploma’s are given to third parties.
 

  • Diploma’s obtained as of June 2014

                Bachelor diploma

You will receive the bachelor diploma once you have obtained the master diploma. Should you need the bachelor diploma earlier (e.g. when you will not take a master programme at KU Leuven) you can contact the student administration of your campus.

                Master diploma

Your diploma will be sent by registered mail to the correspondence address you entered in KU Loket in the year after your graduation.

Did you not receive your diploma? Most likely it will have been returned to the Central Logistic Services (Willem de Croylaan 36, bus 5575, 3001 Heverlee). You can pick up your diploma at this address by presenting your identity card. You can do this every workday between 2 and 4 p.m. If someone else will pick up your diploma, he or she will have to present a proxy, a copy of your identity card and his or her own identity card.
In order to make sure that your diploma has been returned, you can send an email to cld@kuleuven.be.

                Diploma certificate (you did not yet receive your official diploma)

You can contact the student administration to request a diploma certificate when you did not yet receive your official diploma but should need a proof that you obtained the degree.
 

  • Duplicates

                Duplicate of a diploma obtained before or during the academic year 2012-2013

In order to receive a duplicate you can contact the student administration of your campus. Do not forget to mention your full name, degree and year of graduation.

                Duplicate of a diploma obtained as of the academic year 2013-2014

You can request a duplicate through the form of the central student administration in Leuven.
